Electronic vacation requests – how does it work in practice?
Most companies in Krakow still waste time printing forms asking for time off. At Wawel Solutions Group, we show how to swap paper for three clicks on a phone so that HR can focus on work instead of looking for missing documents.
Where did that paper go?
Imagine a typical Monday at a manufacturing company in Krakow's Zabłocie. You have 38 employees, and each has the right to a vacation. In the traditional model, this means at least 76 sheets a year per person, counting just the requests and possible corrections. Papers circulate between the manager's desk and the HR department, often ending up under a pile of invoices or getting lost on the way through the hall. When a document gets lost, the whole procedure starts over. What does it look like once we've implemented the system? The employee opens an app on their smartphone – the same one they use to check the schedule. They see exactly that they have 11 days of vacation left. They choose the dates, click a button, and that's it. The manager gets a notification on their phone, checks if there are any major shipments planned for that time, and approves the request with one thumb swipe. The whole thing takes 14 seconds. Data automatically goes to the HR database, without re-typing, without date errors, and without questions like: 'And how much time off do I have left?'
We implemented such a solution in a small printing house in Skawina with 19 employees. Previously, the owner spent about 4 hours a month just organizing vacation matters. Now he does it on the fly, waiting for a green light at the intersection near Jubilat. People got used to it quickly, even older employees who initially turned their noses up at novelties. It turned out that a clear interface is easier for them than making sure they don't crumple a paper in their work pants pocket.

Costs that pay for themselves
Many people think HR digitization is an expense of several thousand zlotys. This is an error that keeps Polish companies in the previous era. For a company employing 47 people, the monthly maintenance cost of such a system is lower than buying two boxes of printer paper. You pay for what you actually use. You don't need your own servers or an IT person on staff. Everything works in the cloud, and we make sure it complies with Polish regulations and GDPR.
Our analysis shows that the return on such an investment usually occurs after 4 months. Data security and GDPR
A frequent question we hear during meetings at Grodzka St. is the issue of security. Will this data leak? Will an unauthorized person see when I'm taking time off? The answer is simple: a digital request is much safer than a paper one. A sheet left on a manager's desk is available to anyone walking by. The electronic system has precisely set permissions. The manager only sees their own people, and HR sees everything.
All information is encrypted and stored on servers located in the European Union. This is important because Polish offices look at this very closely during inspections. You don't have to worry that they took photocopies of documents or sensitive sick leave data of their colleagues.
