Data protection rules at Wawel Solutions Group
1. Who guards your information?
The administrator of your personal data is Wawel Solutions Group, based at ul. Grodzka 12, 31-006 in Krakow. Our team consists of 7 people, and each knows that information security is the foundation of our work. Marcin Kwiatkowski is directly responsible for privacy issues. We don't collect data we don't need, because we believe that fewer papers mean less trouble for everyone.
2. What data do we collect and why do we need it?
We collect only what is necessary for us to prepare an offer or conduct an audit for you. When you use our forms, we ask for your first and last name, company e-mail address, and phone number. Sometimes we also ask for the number of employees in your company – we need this information so we can price the HR system within the promised 24 hours. All this information is used solely for contacting you and realizing our services. We count facts, not promises, so we use your data to prepare a reliable quote, not for sending spam. If you schedule a 15-minute call, your data will simply help us prepare for the conversation.
3. Server logs and technical details
Like every website, our server automatically saves certain technical data. This includes your IP address, the type of browser you use, and the time of your visit. We do this only to ensure our site works correctly and loads quickly. It simply has to work every day, and this data helps us catch technical errors before they make work difficult for anyone. This information is anonymous – we don't know exactly who you are until you enter your data in the contact form yourself.
4. Cookies
We use cookies to make it easier for you to use our site. These are small text files saved on your computer. Thanks to them, the site remembers your preferences so you don't have to set everything again on every visit. We don't use cookies to track your private life or to display intrusive advertisements. They mainly serve us for analysis, showing which of our 4 main services most interest entrepreneurs from Krakow and the surrounding area. You can disable cookies in your browser settings at any time, but then some functions, such as our HR system payback forecast calculator, may not work perfectly.
5. How long do we keep your data?
We store your data as long as necessary to handle the matter you are writing to us about. If we conduct a Quick Audit for you, your data will stay with us for the duration of the order and the warranty period. If you only asked for a price and we didn't establish cooperation, we usually delete your data one year after the last contact. We don't want to keep redundant information in our systems – we prefer order, just like in the HR systems we implement for our 83 active clients.
6. Your rights – you have full control
You decide about your data. You can write to us at any time and ask to see what we know about you. You have the right to correct your data if, for example, you changed your phone number or office address. You can also demand the complete deletion of your data from our database. We respond to such requests in an average of 3.2 business hours because we respect your time. If you believe your data is processed unlawfully, you also have the right to file a complaint with the Personal Data Protection Office. However, we prefer to settle matters amicably and quickly – one e-mail to Marcin is enough.
7. Who do we transfer data to?
We don't sell your data to anyone. Ever. We transfer it only to trusted entities that help us run the company. This includes the hosting provider where this site is located and the systems we use for project management. Each of these partners must comply with strict GDPR rules. We operate locally in Krakow and only cooperate with reliable technology providers.
8. Security and SSL certificate
Your data is safe with us. Our site uses an SSL certificate, which means that everything you enter in the forms is encrypted and no unauthorized person can peek at it. Only a few people from our 7-member team who directly handle your inquiry have access to your information. Less clicking, more work – that's our principle, but we don't take shortcuts when it comes to security.
9. Changes to the privacy policy
Sometimes we may update this document, e.g., when regulations change or we add a new service to our offer. You will always find the current date of the last change here. We won't introduce any drastic changes without a clear reason. We want the rules to be clear and transparent for every business owner who wants to order HR automation or a process audit from us.

If anything in these rules is unclear, just ask. We don't like fluff and corporate talk, so we'll explain everything to you humanly.
